UX DESIGN PORTFOLIO
A years old process was wasting design hours each month — my solution recouped time and increased leadership visibility.
For several years, the designers and program managers within our organization regularly put together design appendices as companions to documents presented in monthly and quarterly business reviews. These appendices included the designs recently finalized and launched, as referenced in the corresponding document, and often required several hours to put together.
However, because they were presented as secondary documents, these designs were often passed over and not consistently referenced in the review. It was apparent that the work necessary to put these appendices together was not efficient or productive.
To address this, I developed and instituted an organization-wide ‘UX Design Portfolio’ — an internal site which cataloged project details and assets, by quarter, for work ready to be shared with leaders.
My role —
Met with previous design appendix creators to understand the current process and pain points.
Outlined the requirements of a new solution: ease of access to most recent designs, clarity around project design lead for collaboration, consistency in types of project details and assets shared.
Established a format for exporting and linking to assets based on the existing design handoff format, meaning no net new design work was required when adding projects to the portfolio.
Documented best practices for uploading and maintaining projects on the portfolio, and shared with the entire design organization.
Documented best practices for utilizing the portfolio, and collaboration expectations moving forward, and shared with all product and tech partners.
The outcome —
Partners were able to reference and pull the design assets they needed from the portfolio, and had a clear understanding of the appropriate lead to contact for collaboration.
Designs were integrated directly in-line documents. With a single document for review, leaders began having more frequent visibility into design work.
Designers and program managers gained back several working hours, monthly, as they were no longer expected to create design appendices for each business review.
The design organization had a single source of truth when looking for the latest design patterns or project leads, and therefore greater transparency across teams and ongoing projects.
